Distribution Management Software

Distribution Management Software for Vans, Routes & Reps

Distribution runs on vehicles, routes and trust. Distribook replaces the route book with a system that knows what went out, what was sold, what came back and what is still owed.

In depth

The distributor’s real problem is reconciliation

A distribution business does not usually fail because of poor sales. It fails slowly through unreconciled stock and uncollected money. Goods leave the warehouse on a van, some are sold, some are returned, some are damaged, and some are simply unaccounted for. Cash and cheques come back days later. Nobody can say with confidence what a route actually earned.

Distribook closes that loop. Loading a van creates a record of exactly what left. Every sale on the route is captured against a customer at the time it happens. At settlement, the system compares what went out, what was sold, what returned and what was collected, and shows the difference immediately rather than at the end of the month.

Routes, territories and daily journey plans

Customers are grouped into routes and territories, and each rep gets a daily journey plan. The plan shows which outlets to visit, what they ordered last time and what they currently owe. Because the sequence is planned, the number of outlets covered per day rises without anyone driving further.

A customer map view shows outlets geographically, which makes gaps in coverage obvious — the shops nobody has visited for three weeks, the cluster that justifies a new route, the territory that has quietly outgrown one rep.

Field visits you can verify

Reps work from the mobile app. A visit is logged where and when it happened, with the order, the collection and any reason for a no-sale recorded on the spot. Managers see progress through the day rather than waiting for an evening phone call.

This is not about surveillance; it is about removing the argument. When the visit record, the order and the collection all agree, the conversation with a rep becomes about performance instead of about what actually happened.

Credit control at the point of order

The most expensive moment in distribution is accepting an order from a customer who is already over their limit. Distribook checks credit limit and outstanding balance before the order is confirmed, and flags overdue invoices and undeposited cheques to the rep while they are still standing in the shop.

Collections, cheque due dates and deposits are tracked against invoices, so the outstanding figure on the dashboard is one you can act on.

FAQ

Distribution Management Software — questions we get asked

Does Distribook support van sales and pre-sales models?

Yes. You can run van sales, where stock travels with the rep and is billed on the spot, or pre-sales, where orders are collected and fulfilled from the warehouse afterwards.

Can reps work where there is no signal?

Yes. The mobile app captures visits, orders and collections offline and syncs when the device regains coverage.

How is van stock reconciled?

Loading, sales, returns and damages are all recorded, and the settlement screen shows the expected versus actual position for both stock and cash at the end of each run.
