Why stock figures drift

Stock records go wrong in small, ordinary ways: a sale rung up under the wrong item, a return that was never entered, a transfer sent but not received, a damaged carton written off in someone’s head. Individually these are minor. Compounded over a year across thousands of transactions, they produce a stock report nobody believes.

The fix is not a bigger annual stock take. It is making every movement a recorded transaction at the moment it happens, and giving managers a short, honest list of exceptions to investigate while the details are still fresh.

Alerts that arrive before the problem

Every product can carry a reorder level. When stock falls below it, the item appears on the low-stock list on the dashboard — visible to the person who can actually place the purchase order. A supermarket running ninety items below alert level knows precisely which ninety, sorted by how fast they sell.

Expiry works the same way. For pharmacies, food distributors and beverage businesses, batches nearing expiry surface early enough to move them, rather than being discovered as a write-off.

Multi-branch and warehouse control

Businesses rarely hold stock in one place. Distribook tracks quantities per branch and per warehouse, so a customer at one showroom can be told accurately whether the item is available at another. Transfers are raised, dispatched and confirmed on receipt, which means stock in transit is visible instead of missing.

Permissions follow the same structure. A branch manager sees and adjusts their own stock; head office sees the consolidated position.

Costing you can rely on for pricing

Purchases, GRN, landed costs, returns and damages all feed the cost of each item, so gross margin reporting reflects what you actually paid rather than a list price typed in months ago. When a supplier raises prices, the effect on your margin is visible immediately, and you can decide on a price revision with real numbers instead of instinct.
